BOOKING & CANCELLATION POLICY

At Zack’s VR Arena, we strive to provide every guest with the best gaming experience possible. To ensure smooth scheduling and fair availability for all players, the following Booking and Cancellation Policy applies to all reservations.

1. BOOKING POLICY

1.1 Reservation Requirements

  • All VR sessions require a confirmed booking through our website, in person, or by phone.
  • Full payment or a deposit may be required at the time of booking (depending on the experience selected).
  • Guests must arrive 10 minutes before their scheduled session for check-in and briefing.

1.2 Age Requirements

  • Players under 13 must be accompanied by a parent or guardian.
  • A parent or guardian must sign a waiver for any participant under 18.

1.3 Group & Party Bookings

  • Group events, birthday parties, and private sessions may require:
    • A non-refundable deposit
    • Additional confirmation steps
    • Minimum player counts
  • Final headcount may be required 24–48 hours before the event.

2. CANCELLATION & RESCHEDULING POLICY

2.1 Standard Bookings

  • Cancellations made 24 hours or more before the reservation time are eligible for:
    • Full refund or
    • Free reschedule
  • Cancellations made less than 24 hours before the reservation time are non-refundable.

2.2 No-Shows

  • Guests who do not show up for their scheduled session will be charged the full amount.
  • No-shows are not eligible for rescheduling or refunds.

2.3 Late Arrivals

  • Sessions start promptly at the scheduled time.
  • Late arrivals may lose part of their session time.
  • Arrivals more than 15 minutes late may be considered a no-show, depending on staffing and schedule.

2.4 Group & Party Cancellation Rules

  • Deposits for group bookings or parties are non-refundable.
  • Events canceled 48 hours or more before the start time may reschedule without penalty.
  • Events canceled within 48 hours are not eligible for refunds or rescheduling.

3. WEATHER, EMERGENCY, OR ARENA-INITIATED CANCELLATIONS

If Zack’s VR Arena must cancel or reschedule due to:

  • Weather
  • Technical issues
  • Power outages
  • Operational emergencies
  • Safety concerns

Guests will receive:

  • A full refund or
  • A complimentary reschedule

We will contact affected guests via phone or email as soon as possible.


4. PAYMENT & REFUND POLICY

4.1 Payment Methods

We accept:

  • Credit and debit cards
  • Online payment methods
  • In-person payments

4.2 Refund Processing

Approved refunds may take 3–10 business days depending on the bank or payment processor.


4.3 Non-Refundable Items

The following are non-refundable

  • Event deposits
  • Late cancellations
  • No-shows
  • Add-ons or consumables once used (bottled drinks, snacks, merchandise, etc.)

5. RESCHEDULING POLICY

Guests may request a schedule change:

  • Free of charge if requested 24 hours or more in advance
  • Based on availability
  • By contacting us via phone, email, or booking system

Requests made less than 24 hours before the session are treated as cancellations.


6. HEALTH, SAFETY, AND PARTICIPATION

  • Guests feeling sick, dizzy, or unsafe should inform staff immediately.
  • If a session is stopped due to illness within the first 10 minutes, staff may offer a partial credit at their discretion.
  • Safety rules and waivers must be completed before participation.
